Position Summary

The Enrollment and Matching Specialist position is a full-time position responsible for overseeing and supporting youth, volunteers, and parents/guardians through the Enrollment process. This includes interviewing and assessing to determine eligibility and make appropriate matches. This position reports directly to the Enrollment and Recruitment Manager. This job requires some evening/weekend work in order to be flexible with volunteer/family schedules.

  • Salary: $36,500
  • Big Brothers Big Sisters adheres to a 32-hour, 4-day work week. Employees' typical work schedule is either Monday-Thursday or Tuesday-Friday depending on agency needs.

Essential Job Duties

General

  • Ensures high-level expertise in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job functions.
  • Participates in team and program events throughout the year including team meetings, program activities, and staff meetings.
  • Assists with recruitment, fundraising, and other agency group events as needed.
  • Maintains up-to-date, accurate and detailed documentation and database records according to Big Brothers Big Sisters standards.
  • Supports a culture of philanthropy by identifying and fostering potential donor relationships, potential corporate/business/community partnerships and engaging in events which benefit the agency.
  • Shares with the Development Team potential partnership relationships as discovered through volunteers’ and parents’ employers and affiliations.
  • Assists with grant reporting as pertaining to program area.
  • Collaborate with other program team membersto ensure smooth transition among functions.
  • Carry out additional duties as assigned by supervisor


Enrollment

  • Ensure all participants receive a smooth and positive enrollment experience from inquiry to match keeping them informed and engaged throughout the process. Help to eliminate any barriers interfering with the enrollment process.
  • Respond to inquiries for potential mentors and mentees in a prompt and informative manner.
  • Obtain collateral material needed for assessment purposes including criminal background checks, references, school, and counseling information.
  • Individually and with the team, assess volunteer and child eligibility to participate in BBBS programming. Conducts volunteer and child enrollments including interviews, home visits, assessments, and completion of any other enrollment processes.
  • Review enrollment information and assessments and make recommendations for volunteer and child participation in the program based on this information. Assess and apply factors contributing to a successful match.
  • Make matching decisions that have the potential to result in strong mentor/mentee relationships.
  • Create match proposals and and work with the Match Support Team to set a match up for success.
  • Review and follow up on references as necessary to gain additional data to complete the assessment process.
  • Adhere to Big Brothers Big Sisters of America’s Standards of Practice and Service Delivery Model in all enrollment


Recruitment

  • Works with the Recruitment Team to create align with the strategic vision and plan for agency-wide recruitment of youth and volunteers.
  • Recruits program participants by implementing and participating in outreach strategies to recruit children and volunteers.
  • Provides accurate descriptions of programs and services and convey realistic expectations to interested parties.

  • Belief in Big Brothers Big Sisters mission and potential of the youth we serve
  • Ability to work two weekends a month and two evenings a week
  • Ability to use Microsoft Office/Office 365
  • Ability to adapt to new technology tools (Salesforce and Dialpad are two major tools in this role)
  • Ability to develop trust and rapport among youth clients and guardians
  • Ability to multi-task between tasks and projects

Qualifications

  • A Bachelor's degree
  • Valid driver's license

Enrique Davey Reflects on Hispanic Heritage Month

My name is Enrique, and currently, I am the only Bilingual Match Support Specialist on the team. A personal reason behind applying for this job was to be able to connect with Hispanic families in our community, as I have recently moved to the Greater Chattanooga area. As part of my job, I regularly speak with families who trust us in working alongside them, their kids, and our volunteers. From the start, I noticed that even though there are only a handful of Hispanic families in our Community-Based program, all of them have been part of it for several years, which made me wonder what the reasons behind this were.
