Position Summary

The Bilingual Enrollment and Matching Manager is a full-time position that works with the Chief Program Officer to provide exceptional leadership to the enrollment and recruitment teams. This includes providing guidance on how to deliver quality customer service to volunteers, youth, and their families to efficiently and effectively enroll them in the Big Brothers Big Sisters programs. This position collaborates with the Leadership Team and provides input on strategic planning, continuous improvement, and other needs that add value to the overall success of the agency.  Responsible for ensuring that programming is consistent with the agency’s mission, policies, and procedures and aligns with BBBSA’s National Standards and the strategic goals for Big Brothers Big Sisters of Greater Chattanooga. This position reports directly to the Chief Program Officer and supervises a team of four.

Essential Job Duties

General

-  Works closely with Program Leaders to continually seek to improve program functions and services and ensures that performance is directly in line with agency goals and strategic initiatives.

- Participates in team and program events throughout the year including team meetings, program activities, and full staff meetings.

- Assists with match activities, recruitment events, fundraising and other agency group events as needed.

- Supports a culture of philanthropy by identifying and fostering potential donor relationships, potential corporate/business/community partnerships and engaging in events which benefit the agency.

- Shares with the Chief Development and Marketing Officer and Corporate Partnerships and Special Events Manager potential partnership relationships as discovered through volunteers’ and parents’ employers and affiliations.

- Stays current on program initiatives, training opportunities, and volunteer training updates from Big Brothers Big Sisters of America.

Standards and Program Development

- Ensures that the agency is in compliance with BBBS national standards, Service Delivery Model and other expectations as outlined in grant and other funding requirements.

- Ensures that team members demonstrate high-level proficiency in, and application of child safety and risk management knowledge, policies, and procedures throughout all aspects of job functions according to set standards of practice and agency policies while maintaining high metric performance.

- Assists in reporting requirements for grant initiatives and other targeted funding sources.

- Researches best practices in youth protection within BBBSA network and in community.

Leadership, Team Management

- Responsible for the overall management of a team that effectively implements recruitment, enrollment and matching practices in accordance with the BBBS brand and BBBSA Standards of Practice.

- Supervises Enrollment and Recruitment team to ensure high-level performance and delivery of quality services and work with team members to meet expected goals, objectives, and outcomes. Responsible for training, developing, supervising and evaluating those team members.

- Fosters a team culture of accountability, trust, professionalism, and excellence.

- Fulfills all Matchforce documentation requirements, utilizes Matchforce to prepare and track team performance, and demonstrates high levels of accuracy, efficiency, and leadership for team members and all other internal and external partners.

Recruitment

- Works with the Recruitment Team to create a Recruitment strategic vision and plan for agency-wide recruitment of youth and volunteers.

- Oversees the development and implementation of current and new programs and partnerships for outreach and recruitment purposes. Works with the recruitment team to implement creative outreach and recruitment strategies.

- Provides accurate descriptions of programs and services and convey realistic expectations to interested parties.

Enrollment and Matching

- Ensures that all volunteers, youth, and their families receive an engaging, positive, and personalized experience with BBBS Enrollment team promoting BBBS programs.

- Exercises Customer Experience skills to proactively manage the experience for the entire enrollment lifecycle. This means identifying, developing, and optimizing processes, tools, and methodologies to retain stakeholders and maximize impact.

- Individually and with team, assesses volunteer and child eligibility to participate in BBBS programming. Conduct volunteer and child enrollments including interviews, home visits, assessments and completion of any other enrollment processes.  

- Reviews enrollment information and assessments and make recommendations for volunteer and child participation in the program based on this information. Assess and apply factors contributing to a successful match.

- Works with the Enrollment and Matching team to determine matches and facilitate match meetings to set the tone of a successful match with the highest level of customer service.

Qualifications:

- A Bachelor’s degree in Social Work, Social Services, Education, Counseling, or related field OR Relevant Experience

- Previous Supervisor Experience

- Bilingual in English/Spanish preferred

- Valid driver’s license
