Position Summary 

The Enrollment and Recruitment Manager is a full-time position that works to provide exceptional leadership and customer service to the enrollment and recruitment team as well as families and volunteers enrolling in Big Brothers Big Sisters mentoring programs. This includes delivering quality customer service and enrollment services to volunteers, youth, and their families during their enrollment period. This position collaborates with the Program Leadership Team and provides input on strategic planning, continuous improvement, and other needs that add value to the overall success of the agency. Responsible for ensuring that programming is consistent with the agency’s mission, policies, and procedures and aligns with BBBSA’s National Standards and the strategic goals for Big Brothers Big Sisters of Greater Chattanooga. This position reports directly to the Chief Program Officer and supervises a team of 4. 

Essential Job Duties 

General 

  • Works closely with Agency Leaders to continually seek to improve program functions and services and ensures that performance is directly in line with agency strategic initiatives and BBBSA national standards.
  • Participates in team and program events throughout the year including team meetings, program activities, and full staff meetings. 
  • Assists with match activities, recruitment events, fundraising and other agency group events as needed. 
  • Supports a culture of philanthropy by identifying and fostering potential donor relationships, potential corporate/business/community partnerships and engaging in events which benefit the agency. 
  • Stays current on program initiatives, training opportunities, and volunteer training updates from Big Brothers Big Sisters of America. 
  • Ensures that team members demonstrate high-level proficiency in, and application of child safety and risk management knowledge, policies, and procedures throughout all aspects of job functions according to set standards of practice and agency policies while maintaining high metric performance. 
  • Assists in reporting requirements for grant initiatives and other targeted funding sources. 
  • Researches best practices in youth protection within BBBSA network and in community. 

Leadership and Program Development

  • Responsible for the overall management of a team that effectively implements recruitment, enrollment and matching practices in accordance with the BBBS brand and BBBSA Standards of Practice. 
  • Supervises Enrollment and Recruitment team to ensure high-level performance and delivery of quality services and work with team members to meet expected goals, objectives, and outcomes. Responsible for training, developing, supervising and evaluating those team members. 
  • Fosters a team culture of accountability, trust, professionalism, and excellence. 
  • Fulfills all Matchforce documentation requirements, utilizes Matchforce to prepare and track team performance, and demonstrates high levels of accuracy, efficiency, and leadership for team members and all other internal and external partners. 

Recruitment

  • Works with the Recruitment Team to create a Recruitment strategic vision and plan for agency-wide recruitment of youth and volunteers. 
  • Oversees the development and implementation of current and new programs and partnerships for outreach and recruitment purposes. Works with the recruitment team to implement creative outreach and recruitment strategies. 
  • Provides accurate descriptions of programs and services and convey realistic expectations to interested parties. 

Enrollment and Matching

  • Ensures that all volunteers, youth, and their families receive an engaging, positive, and personalized experience with BBBS Enrollment team promoting BBBS programs. 
  • Exercises Customer Experience skills to proactively manage the experience for the entire enrollment lifecycle. This means identifying, developing, and optimizing processes, tools, and methodologies to retain stakeholders and maximize impact. 
  • Individually and with team, assesses volunteer and child eligibility to participate in BBBS programming. Conduct volunteer and child enrollments including interviews, home visits, child safety education, assessments and completion of any other enrollment processes. 
  • Reviews enrollment information and assessments and make recommendations for volunteer and child participation in the program based on this information. Assess and apply factors contributing to a successful match.
  • Works with the Enrollment and Matching team to determine matches and facilitate match meetings to set the tone of a successful match with the highest level of customer service. 
  • Adheres to Big Brothers Big Sisters of America’s Standards of Practice and Service Delivery Model in all enrollment processes. 


Qualifications

  • Belief in Big Brothers Big Sisters mission and potential of the youth we serve 
  • A Bachelor’s Degree, preferably in social work or related human services field 
  • Previous Supervisor Experience preferred 
  • Valid driver’s license, auto insurance, and reliable transportation 
  • Ability to pass a background check 
  • Ability to work some nights and weekends 
  • Ability to use Microsoft Office/Office 365 
  • Ability to adapt to new technology tools (Salesforce and Dialpad are two major tools in this role) 
  • Ability to develop trust and rapport among youth clients and guardians 
  • Ability to multi-task between tasks and projects

Salary and Benefits 

  • Hybrid Working Environment - 25% Remote/75% In Office Work with Flexible work schedule 
  • Retirement Benefits 
  • Salary - $42,000 
  • 100% Employer Paid Health Insurance, Dental, Vision, Long-Term and Short-Term Disability Insurance, and Life Insurance for Individuals. Insurance is available for spouse/children/family paid for by the employee. 
  • 10 Vacation Hours and 10 Sick Hours Accrued Each Month

Enrique Davey Reflects on Hispanic Heritage Month

My name is Enrique, and currently, I am the only Bilingual Match Support Specialist on the team. A personal reason behind applying for this job was to be able to connect with Hispanic families in our community, as I have recently moved to the Greater Chattanooga area. As part of my job, I regularly speak with families who trust us in working alongside them, their kids, and our volunteers. From the start, I noticed that even though there are only a handful of Hispanic families in our Community-Based program, all of them have been part of it for several years, which made me wonder what the reasons behind this were.
